Terms of Use

Last updated October 29, 2026 · Pilot version

1. What SafeVine is

SafeVine is software that helps churches keep track of volunteers, safety incidents, prayer requests, the calendar, the building and church finances. In these terms, "we" means SafeVine and the person operating it, "your church" means the church that invited you, and "you" means the person using SafeVine.

SafeVine is in a free testing (pilot) phase. There is no charge, and features may change while we learn what churches need.

2. Your account

Your church's leaders decide who is invited and what each person can see. You sign in with a link sent to your email, so keep your email account secure and don't share sign-in links.

Only use SafeVine for your church's work, and only look at information you need for your role.

3. Your church's information

Your church owns the information it enters. We store it so your church can use SafeVine. We don't sell it, rent it or use it for advertising.

We look at a church's information only to keep SafeVine running and secure, to help when your church asks us to, or when the law requires it.

If your church stops using SafeVine, we will give it a copy of its information on request and then delete it, except records the law requires us to keep or that are needed for a legal matter we have been told about.

4. What not to enter

Do not enter Social Security numbers, driver's license or ID numbers, background check results or reports, bank account or card numbers, or medical records. Record only that a check or training was completed and when it expires.

Only enter information your church has a right to keep, and only share prayer requests the way the person asked.

5. Your church stays responsible

SafeVine records what people enter. It does not screen volunteers, verify anyone's background, or decide who may serve. Green "current" badges and reminders reflect only the dates entered.

SafeVine does not report abuse or crimes. Anyone who suspects a child is being abused or neglected must report it as their state's law requires. Filing an incident report in SafeVine is not a report to police or child protective services.

SafeVine does not give legal, tax, accounting or insurance advice. Finance totals come from what is entered; your bank statements remain the official record. Check pastor pay, housing allowance and tax questions with a qualified professional.

6. Permanent records and legal requests

Incident reports, maintenance logs and the change history are kept permanently and can't be deleted or quietly changed. This is what makes them trustworthy for insurance and court.

We may disclose information when required by law, such as a valid subpoena or court order. When the law allows, we will tell your church first.

7. Availability

We work to keep SafeVine running and your information safe, but we can't promise it will always be available or free of errors. Emails and reminders can be delayed or missed. Keep your own copies of anything important (printouts, PDFs and the Excel export).

8. No warranties

SafeVine is provided "as is" and "as available," without warranties of any kind, to the fullest extent the law allows.

9. Limit of liability

To the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential damages, or for lost data, profits or donations, arising from use of SafeVine. Our total liability for any claim is limited to the amount your church paid us for SafeVine in the 12 months before the claim (during the free pilot, that is $0) or $100, whichever is greater.

10. Changes and ending use

We may update these terms. When we do, we will change the date at the top and ask you to agree again before continuing. Your church may stop using SafeVine at any time, and we may end access if SafeVine is misused.

11. Law and contact

These terms are governed by the laws of the Commonwealth of Kentucky. Questions: safevineapp@gmail.com.
