1. What we collect
Account details: your name, email address, phone number if you add it, your church, your role and church title.
What your church enters: volunteer records, incident reports and photos, prayer requests, calendar events, announcements, building problems and maintenance, finance records, and insurance policies and their documents.
Technical details: sign-in times, and the basic logs our hosting providers keep to run and protect the service. Every change to church records is saved in a permanent history showing who made it and when.
2. How we use it
To run SafeVine for your church: showing each person what their role allows, sending the emails you ask for (sign-in links, invitations, reminders and notices), and keeping the service secure.
We don't sell personal information, share it for advertising, or use it to build marketing profiles. SafeVine has no ads and uses only the cookies needed to keep you signed in.
3. Who can see it
Each church can see only its own information. Within a church, what each person sees depends on the access the church's leaders give them. Restricted incident reports, "Pastor only" prayer requests and finances have tighter limits.
The operator of SafeVine can technically reach the database to keep it running, and looks at a church's information only as described in the Terms of Use.
4. Companies that help run SafeVine
Supabase (database, file storage and sign-in), Vercel (hosting the app) and Resend (sending email). They process information only to provide those services to us.
5. Children
SafeVine accounts are for adults and church volunteers. Incident reports may involve children because church leaders record what happened; those reports are limited to the safety team, admins and the pastor, and can be restricted further. Do not create accounts for children under 13.
6. Security
Information is encrypted in transit, protected by access rules in the database, and photos are stored privately. No system is perfectly secure. If we learn of a breach affecting your church's information, we will tell your church promptly and help it meet any notice duties.
7. How long we keep it
For as long as your church uses SafeVine. Incident reports, maintenance logs and the change history are permanent. When a church leaves, see "Your church's information" in the Terms of Use.
8. Your choices
Ask your church's SafeVine admin to correct or remove your information, or contact us. Some records can't be removed because they are permanent records your church relies on.
